If you’re like other SMART entrepreneurs who have people working with you virtually, then here are the 5 online tools and software that can help your virtual assistant (VA) team work together effectively and productively:

1.       Logmein

This piece of software allows your VA to access your computer remotely. This is very useful if you need to have them work on a large database in your PC that can’t be conveniently sent in an email. Collaboration, system management and data backup also become easier with Logmein.

2.       Skype

When you’re working with people who are hundreds or even thousands of miles away, face-to-face meetings rarely happens. You shouldn't worry though because with Skype, it’s almost like you’re all in the same room together. You can do conference calls, see one another, share screens, send private or group messages and share files and information within the platform. Skype is the best alternative when personal meeting with your virtual team is just not possible. 

3.       SweetProcess

This neat piece of online software allows you to document repetitive tasks so that any member of your virtual team can do the task without you having to repeat the instructions every time. The best thing about this software is that you can easily embed screencasts or screenshots to provide a much clearer step-by-step instruction for everyone. This is especially useful if you have a new virtual assistant on your team that you want to get up to speed with the task. Sweet process indeed.

4.       Dropbox

This tool is one of the most popular software in the file sharing and storage category. Once you've successfully signed up and installed the software in your account, you’ll have a virtual folder in your PC. You can drag files to this folder and those files will be stored virtually so you can access them anywhere as long as you have an internet connection. You can also share files with your team by changing the sharing options of each folder/file or by providing them the link of the document. And because all your files are stored virtually, Dropbox also serves as a good backup system. 

5.       GoogleDocs

This web-based office suite makes virtual collaboration a cinch. GoogleDocs can be used  for document presentations, spreadsheets creations, presentation, etc. It also allows you to create forms and share files. And the best thing about it? It’s FREE!
